Police Information Check
What is a Police Information Check (PIC)?
Like any minor sports organization, one of the tools Millwoods Hockey is required to use to ensure the safety of our children is a Vulnerable Sector Police Information Check (PIC). This is required of any adult who plans to be a part of the training or coaching staff of one of our teams during the season. It is mandatory and no individual will be assigned to a team unless an application is completed. It is the responsibility of the coaching staff to reach out to the Registrar to request an application.
The results of a Police Information Check are only disclosed to the applicant. A Police Information Check only provides the information required for a volunteer organization to make an informed decision regarding the suitability of an applicant. This is only one factor when considering an applicant for volunteer positions and other attributes will also come into consideration.
- Must be 18 years or older to submit an application.
- Application has to be done through the Millwoods Hockey Program. The registrar will contact the Coach and send a link to complete the application.
- Police checks are valid for 2 years.
- There is no cost associated with the application.
- Millwoods Hockey does not keep copies of Police Checks received on file. It is recommended that you print/save a copy for your own future reference.
Police Information Check (PIC) / Vulnerable Sector Check
Millwoods Hockey requires all team officials (18 years and older) to complete a Police Information Check (PIC) including a Vulnerable Sector Check before participating in any coaching or bench staff role.
This requirement is in place to help ensure the safety of all players and is mandatory for anyone working with a team during the season. No individual will be assigned to a team without a completed and approved PIC.
Key Information
- PIC applications must be completed through the Millwoods Hockey registration process (the Registrar will provide instructions and a link when required)
- The check is valid for two (2) years
- There is no cost to complete the application
- Millwoods Hockey does not retain copies of PIC results — applicants are encouraged to save or print their results for personal records
- Applicants will be required to submit their PDF results to the Operations Manager for review
- Results are disclosed directly to the applicant, with only relevant information reviewed internally if required
Eligibility
- Applicants must be 18 years of age or older
- All coaching and bench staff must have a valid PIC on file prior to being rostered
Online Application Process
The Edmonton Police Service offers an online PIC system in most cases, allowing applicants to complete the process without attending a police station.

Receive a "Letter to Attend” Notice
In some cases, applicants may receive a request to attend an appointment with the Edmonton Police Service after submitting their application. This may be required for:
- Submission of fingerprints to confirm or eliminate a criminal record associated to an applicants information.
- Submission of fingerprints for the Vulnerable Sector search to confirm or eliminate a pardon associated, or possibly associated, to applicants’ information. Please see the RCMP website for more information.
- To deal with outstanding warrant(s) on the National Police Computer System.
- Disclosure of police related relevant occurrence report(s).
- Failure to submit a self-declaration form if you have existing criminal conviction(s)
Relevant Offences Review
If a PIC includes a relevant offence, it will be reviewed by the Millwoods Hockey Operations Manager. Relevant offences may include (but are not limited to):
- Violent offences or assault (past 10 years)
- Offences involving minors (any time)
- Sexual offences or child-related offences (any time)
- Fraud or theft (any time)
- Drug-related offences or impaired driving (within past 5 years)
- Offences involving public misconduct (within past 5 years)
